8 to 12 weeks before
- Appoint one move coordinator inside the company.
- Get a floor plan of the new office and decide seating by team.
- Ask two or three movers for a site survey and a written plan with costs.
- Check both buildings' rules: allowed moving hours, service lift booking, loading bay access and insurance certificates they may require.
4 to 6 weeks before
- Book the mover and fix the move window (usually a weekend).
- Order internet and phone lines at the new office early; installation can take weeks.
- Update your address with GST, bank, clients, vendors, Google Business Profile and the website.
- Plan what to dispose of: old furniture, e-waste, files beyond retention period.
2 weeks before
- Brief employees on packing their desks, the label system and the move date.
- IT team takes full data backups and documents network and server setup.
- Get gate passes and building approvals in writing.
Move weekend
- IT disconnects equipment; the mover packs it in anti-static material.
- Every desk, chair and carton carries a label matching the new floor plan.
- Workstations are dismantled, moved and re-assembled; IT reconnects and tests.
- Do a walk-through of the old office before handing it back.
First day in the new office
